Role Summary:

The Sales Operations Specialist supports the overall productivity and effectiveness of the Sales organization, as well as working closely with stakeholders outside of Sales to ensure that the processes in place work as well as possible for all areas of the business.

The Sales Operations Specialist role assists the manager of the Sales Operations Team to deliver efficient and effective support to promote the productivity of the Europe Sales team. This includes co-ordination of all sales material (such as co-ordination of request for proposal responses and order forms) sales process optimization (for example looking at how current processes can be improved), internal training facilitation (assisting the Training Manager, if required), supporting marketing and company events (on an ad hoc basis, also organized by the Marketing Team), assisting with sales presentations, as well as other activities that will enhance the efficiency of the Sales Team. The role combines both regular administrative tasks and ad hoc projects. The right candidate must be a good administrator, as well as someone willing to provide input and initiative on more strategic transformation projects and come up with their own ideas.

Major Responsibilities / Accountabilities:

  • Setting up and processing client orders.
  • Proactively identifying opportunities for sales process improvement.
  • Assisting the manager of Sales Operations Team in understanding process bottlenecks and inconsistencies and facilitating continuous process improvement.
  • Creating and distributing sales and pipeline reports and other intelligence key to the Sales organization, as well as recommending revisions to existing reports, or assisting in the development of new reporting tools.
  • Monitoring the assigned Sales organization compliance with the required standards for maintaining effective Client Relationship Management (CRM) data in our system (SalesForce). This may include cleansing data or teaching new and existing colleagues how to use things effectively.
  • Creating a reporting system to track Inside Sales lead generation to sales wins, in cooperation with the Lead Generation Manager.
  • Working with Sales Management, IT, Facilities, and Human Resources, to fulfill various aspects of administration around hiring and on-boarding.
  • Collating, updating & providing Sales materials to various groups across the sales organization.
  • Liaising with colleagues around the RFP response process.
  • Assisting with billing queries on behalf on the Sales Team.
  • Assisting in building a library of sales presentations that are consistent with the ONESOURCE message, as well as putting together your own documentation to help the Sales Team learn any new processes you’ve developed or assisted on.
  • Ensuring client filing is accurate and contracts are correctly put together and stored.
  • Taking responsibility for the smooth execution of the Sale to Contract process through the system, while building co-operative relationships with all groups and key departments you work with, including Account Managers, Client Service Managers, Solution Consultants and Professional Services.

Key Relationships:

The Sales Operations Specialist will report directly to the team manager (Customer Experience Manager) and work closely alongside another member of the team with the same role. They will also need to work closely with the Sales Team and more occasionally other individuals across the business.

  • Experience of a sales & marketing working environment desirable, though not essential.
  • Experience of using SalesForce desirable, though not essential.

Education/ Certifications:

  • Degree or equivalently educated.
